Platform Privacy Addendum

This Platform Privacy Addendum explains how Code Four Labs, Corp. ("Code Four") processes Customer Data on behalf of police departments and public safety agencies ("Customers") using our Services.

1. Roles and Responsibilities

Customer (Controller/Owner)

The police department or agency is the data controller/owner. The Customer determines what data is uploaded, how it is used, and who has access within their organization.

Code Four (Processor/Service Provider)

Code Four acts as a data processor/service provider, processing Customer Data solely to provide the requested Services under the Customer's instructions.

2. Customer Data Categories

Customer Data processed by the Services may include:

  • Body-worn camera (BWC) video and audio — footage uploaded by Authorized Users
  • Transcripts — generated from video/audio processing
  • Report drafts and narratives — AI-generated outputs for officer review
  • Case attachments — documents and files associated with cases
  • User and admin metadata — account information for Authorized Users

3. Processing Purposes

Code Four processes Customer Data for the following purposes:

  • Generate drafts and outputs as requested by Authorized Users
  • Process redaction requests for FOIA/public records workflows
  • Maintain auditability, integrity, and security of data
  • Provide technical support and ensure platform reliability

4. No Training Commitment

Code Four will NOT use Customer Data to train or fine-tune general or shared AI models.

We may use only aggregated, de-identified operational metrics (such as processing times, error rates, and system performance data) to improve platform reliability and performance. Customer Data remains isolated per-customer and is never pooled across customers for model development or improvement.

5. Retention and Deletion

Data retention is controlled by the Customer Agreement and platform configuration:

  • Customers can configure retention periods according to their policies
  • Export functionality is available for data portability
  • Deletion processes are available upon request or agreement termination

6. Legal Requests

If Code Four receives a legal request (e.g., subpoena) for Customer Data, we will direct the requesting party to the Customer where legally permitted. If required to provide Customer Data, we will notify the Customer in advance unless prohibited by law.
